Company Policies

1. Ethical Conduct & Professionalism
All staff members must adhere to the ethical guidelines outlined by the Behavior Analyst Certification Board (BACB) and maintain professionalism in all interactions with clients, families, and colleagues.

  • Maintain confidentiality and adhere to HIPAA regulations.

  • Treat all clients, families, and team members with respect and dignity.

  • Avoid conflicts of interest and dual relationships that could impact professional judgment.

  • Uphold integrity, honesty, and transparency in service delivery.

2. Client Rights & Confidentiality
Clients and their families have the right to receive ethical, evidence-based treatment in a safe and respectful environment.

  • All personal and medical information is protected under HIPAA and cannot be shared without written consent.

  • Clients have the right to participate in their treatment planning and goal-setting.

  • Families may request access to records and progress reports as permitted by law.

  • Any suspected abuse or neglect must be reported to the appropriate authorities following mandatory reporting laws.

3. Service Delivery & Treatment
Our ABA services are designed to be individualized, data-driven, and goal-oriented.

  • Treatment plans are developed based on assessments and regularly reviewed for effectiveness.

  • Parent and caregiver involvement is encouraged to enhance generalization of skills.

  • Therapy sessions must be conducted in a structured and ethical manner.

  • Data collection and progress monitoring are required to ensure the effectiveness of interventions.

4. Attendance & Session Cancellations
To maintain consistency in treatment, both staff and families must adhere to attendance policies.

  • Clients must provide at least 24 hours' notice for cancellations.

  • Excessive cancellations may result in treatment plan adjustments or discontinuation of services.

  • Staff must provide advance notice for time off and arrange proper coverage for clients.

5. Workplace Conduct & Safety
Ensuring a safe, supportive work environment is a priority for all employees and clients.

  • Employees must follow all workplace safety protocols when providing in-home or community-based services.

  • Harassment, discrimination, or workplace violence will not be tolerated.

  • Proper handling of client behavior concerns must align with non-restrictive, ethical interventions.

6. Training & Supervision
Staff members must complete required training and ongoing professional development to maintain high-quality ABA services.

  • All RBTs must be supervised by a BCBA according to BACB guidelines.

  • Staff must attend scheduled training sessions and complete continuing education requirements.

  • Supervision meetings must be documented and conducted as per BACB standards.

7. Billing & Documentation
Accurate and ethical billing practices are essential to compliance with funding sources.

  • All session notes must be completed within 24 hours of service delivery.

  • Billing must accurately reflect services provided and comply with insurance requirements.

  • Any suspected fraud or billing errors must be reported immediately.

8. Non-Discrimination Policy
Luminary ABA is committed to fostering an inclusive and diverse environment.

  • We do not discriminate based on race, ethnicity, gender, sexual orientation, disability, or religion.

  • All clients receive individualized, unbiased treatment tailored to their needs.

  • Employees are expected to uphold a culture of inclusion and respect.

9. Grievance & Complaint Process
Clients and employees have the right to express concerns without fear of retaliation.

  • Complaints should first be addressed through direct communication with the involved party.

  • If unresolved, concerns may be escalated to management for review.

  • A formal complaint process is in place to ensure fair resolution of conflicts.

10. Termination of Services
Services may be discontinued under specific conditions:

  • If the client has met their treatment goals and no longer requires ABA services.

  • If there is a consistent lack of participation or engagement.

  • If ethical, safety, or legal concerns arise that prevent continued services.

  • If funding sources or insurance coverage change.
